Access Tips & Tricks

Zoom in on data

The Zoom dialog box is a great vehicle for viewing more data than you can see in the native window. You've probably seen this option before on the shortcut menu. But did you know that you could also activate it by pressing [Shift][F2]? And you can bring up the Zoom dialog box in places even when there's no visible clue that you can use it. For example, if you're viewing a table, press [Shift][F2] on any of the fields. The Zoom dialog box will appear with the values fully expanded.

Using Access data in Word

There are several ways to bring Access data into a Word document. One way is to export the data from Access to Word. Another is to use the Word Mail Merge Wizard from within Access. The method you choose, of course, depends on how you plan to use the data.

To use the Word Mail Merge Wizard:

  1. Open the Access database.
  2. Go to the database window and click Office Links.
  3. Follow the Wizard's directions to link to an existing Word document or to start a new document.

To use the export method:

  1. Open the Access database.
  2. Go to the database window and click on the table you wish to export.
  3. Go to File | Export.
  4. Select your desired file format from the Save As File Type drop-down list.
  5. Save the file.
